China Supplier Quotation Validity Period: Hardware Buyer Checklist

A practical pre-PO checklist for reconfirming an expired metal hardware quotation against the approved drawing, sample, quantity, finish, pack-out and delivery plan.

A China supplier quotation validity period should be read as one part of a specific offer, not as a guarantee that every product, price, or delivery assumption will remain unchanged. If the stated date has passed, an importer should ask for dated written reconfirmation before releasing a purchase order for metal bathroom or home-storage hardware. Compare the response with the approved drawing or sample, quantity tier, material and finish, included components, packaging, inspection scope, delivery basis, and required ship window. Record what remains unchanged and what needs a revised quotation.

What problem does this article help buyers solve?

A buyer may receive a quotation, request a sample, review the finish, circulate the project for approval, and only then prepare the PO. That gap can be long enough for the quote’s stated validity date to pass. The buyer then faces a practical question: does the old offer still match the order being approved now?

The risk is often a mismatch of assumptions, not simply a higher unit price. The quote may have been prepared for a different drawing revision, quantity, material, surface finish, package configuration, delivery term, or production window. The internal team may be looking at the approved sample while the supplier is still referencing an earlier version. If the PO is issued against the wrong baseline, later clarification can affect both cost and schedule.

The right response is not to assume the quote remains open, and not to assume that expiry automatically means the supplier will increase the price. Ask the supplier to confirm the current offer in writing. If a relevant assumption changed, identify it explicitly and request an updated document that the buyer can approve and reference.

Supplier quotation guides treat the validity date as one of the details buyers should read alongside scope and commercial terms. A current manufacturing-services guide also distinguishes a price confirmation from confirmation of orderable quantity or delivery timing. Those are useful procurement examples, but they do not establish one standard validity period for metal hardware. (CN Ally’s supplier quote guide; Elisa Industriq’s EMS revalidation guide)

What does the validity date tell you—and what does it leave open?

Start with the quotation number, issue date, stated valid-through date, currency, and the terms attached to that document. Confirm whether the date applies to the full offer or only selected prices. Some supplier documents state that material availability, lead time, or delivery timing must be reconfirmed separately. Do not infer which conditions are covered from the word “valid” alone.

A date passing is a prompt to reconfirm the offer. The China supplier quotation validity period should be treated as a checkpoint for the written offer, not as proof that stock or a production slot was reserved. By itself, the date does not tell you that the price changed or that the supplier is at fault. The quote, any later written clarification, the PO, and the buyer-supplier agreement may all matter to the order. This article is a commercial review checklist, not an assessment of legal rights or obligations.

If the quotation has no clear expiry date, ask the supplier to state whether the current offer is still available and which assumptions it covers. If the supplier replies that the amount is unchanged, ask whether quantity, specification, packaging, payment, delivery basis, and timing are also unchanged. A one-line “same price” reply may leave important parts of the order unresolved.

Also separate a quotation from the order documents your supplier expects to use next. A pro-forma invoice may repeat some quotation details, but it can include different quantities, payment terms, delivery information, or validity language. A China supplier PI guide recommends checking that the document matches the product and shipping assumptions discussed with the supplier; compare each document line by line before approval. (China Biz Agent’s PI review guide)

What should importers check first?

Use a short, dated revalidation request rather than resending a large initial RFQ. Include the original quote and identify the exact order baseline:

  1. Identify the offer. State the quotation number, issue date, validity date if shown, currency, and supplier contact. Attach the original file so both sides refer to the same version.
  2. Freeze the product baseline. Name the SKU and latest drawing revision. Include the approved sample reference or approval date if one exists. State whether the buyer changed anything after the quote was issued.
  3. Confirm the order quantity and mix. Specify total pieces by SKU, finish, size, or color. Ask the supplier to confirm the price tier and MOQ for that exact mix, especially if the PO quantity differs from the quoted quantity.
  4. Reconcile material and finish. Confirm the material description, wire or tube dimensions where applicable, surface finish, color reference, and any change to the approved sample. Do not substitute a grade or finish silently.
  5. List one-time and included costs. Ask whether sample, tooling, setup, assembly, accessory kits, labels, and packaging charges remain as quoted, and whether they are included in the unit price or listed separately.
  6. Check pack-out and inspection scope. Attach the latest retail packaging brief, carton quantity, inserts, labels, and inspection requirements. Ask which are included and which require a separate line or approval.
  7. Reconfirm delivery assumptions. Confirm the delivery term and named place, estimated production lead time, possible production start, shipment window, payment milestones, and any approval needed before the schedule can be confirmed.
  8. Ask for a dated response. Request a written statement that names the quotation version and says which terms are unchanged and which have changed. If a material assumption has changed, ask for a revised quotation with a new date and validity period.

A response is useful when another colleague can place the old quotation beside the supplier’s confirmation and see exactly what will be ordered. Ask the supplier to mark “unchanged” only where that statement applies. For revised terms, request a specific description, effective date, and updated amount or timing rather than a general note that “costs may change.”

Which metal-hardware assumptions should be reconciled?

A metal hardware quote can be tied to features that are easy to miss when the buyer focuses on the product name or headline price. A wire basket’s depth, tier count, support wires, mounting backplate, coating, accessory bag, and retail pack-out may all be part of the quoted scope. A change to one detail may be harmless to one project and material to another, so record it against the actual drawing and approved sample.

Reconfirm Specific check for bathroom or home-storage hardware Record for the PO
Product revision Drawing number and revision; dimensions; component count; mounting arrangement; approved sample Exact revision and sample baseline
Material and finish Material description, wire/tube/sheet dimensions if specified, finish and color reference Approved material/finish with any accepted variation
Quantity and mix Total pieces, SKU mix, color/size variants, order tier and MOQ Quantity priced and the matching unit-price tier
Sample and one-time charges Sample, tooling, setup, fixture, assembly, or development charges Which charges remain separate or are included
Accessories Screws, anchors, hooks, inserts, pads, or other components listed in the quote Included kit and any exclusions
Emballage Inner protection, retail pack, carton quantity, label, barcode, insert, or artwork Pack-out version and responsibility for each item
Inspection and records Agreed dimensional, visual, functional, or document checks Scope stated in the order file without implying a certification
Delivery and timing Delivery term and named place, production lead time, shipment window, payment milestones Terms the supplier has reconfirmed and any open condition

Illustrative sample-review scene; confirm the exact product and finish against the approved project drawing.

This check is especially useful after a sample or drawing change. For example, a buyer may approve a revised basket height after receiving the first sample. If the quotation still names the earlier drawing, the supplier should confirm whether the revised dimensions change the material, bending, welding, finish, assembly, packaging, or timing assumptions. The buyer should not decide from the sample photo alone whether the commercial offer is unchanged.

Finish and pack-out need the same care. A change from one finish reference to another may affect what the supplier must purchase or prepare; a different inner pack may change what the quoted price includes. These are conditional effects, not automatic price changes. Ask which lines are affected, what remains the same, and whether the revised offer supersedes the prior one.

For private-label products, packaging and product scope can move independently. The hardware configuration may remain fixed while the label, instruction sheet, retail box, protective insert, or carton quantity changes. Keep those details in a separate pack-out brief and ask the supplier to identify which version the quote covers. Koitor’s private-label bathroom accessories page describes the broader product-development context; the project-specific pack-out still needs written confirmation.

What should the buyer do if the supplier confirms the quote?

If the supplier confirms that the offer remains available, save the reply with the original quotation and verify that “available” covers the terms needed for the PO. A useful confirmation names the quote version and reconfirms the product baseline, quantity, price basis, package scope, delivery term, and schedule assumptions. Ask separately whether a material reservation or production slot is being made if the order depends on one; price validity alone should not be treated as that commitment unless the supplier has stated it.

Then make the PO traceable to the accepted offer. Include the quotation number and date, drawing revision, sample approval reference, agreed quantity and mix, finish, pack-out, and the delivery basis. Attach the updated quotation or written confirmation to the order file. If your internal process requires a fresh quotation document, follow that process even when the supplier says the original amount is unchanged.

If the supplier confirms some terms but not others, mark the open items and get answers before release. For example, the price may remain the same while the ship window needs a new estimate, or the delivery term may remain but packaging costs need a revised line. Keeping the open points visible is safer than treating silence as agreement.

What if the quote changes or the supplier cannot confirm it?

Choose the next step based on what changed:

Supplier response Buyer action
Same product, quantity, price basis, pack-out, delivery term, and timing are reconfirmed Keep the dated confirmation with the original quote and reference both in the PO file
One specific term changes, such as quantity tier, packaging, or ship window Ask for the revised line and confirm whether other terms remain unchanged
Drawing revision, finish, included components, or order mix changed materially Request a replacement quotation tied to the approved revision and exact order mix
Supplier cannot confirm material availability or timing Keep the PO on hold until the orderable quantity and feasible window are clear
Supplier response is incomplete or conflicts with the quote Send a short clarification list; do not silently resolve the conflict in the buyer’s copy

A revised quotation should make the old and new baselines distinguishable. Ask the supplier to identify the superseded quote, current issue date, validity date, product revision, order quantity, and each changed condition. Preserve both versions so the buyer can see why the PO differs from the original request.

When a China supplier quotation validity period has passed, keep the earlier quote as the comparison baseline and request a dated answer for the current quantity and product revision. Do not delete or overwrite it after a revision. The earlier document explains what was first offered; the updated document explains the current proposal. Keeping both supports later internal review and helps prevent an old line from being copied into a reorder by mistake.

What are common mistakes when sourcing this way?

Asking only “Can you keep the same price?” This leaves quantity, finish, pack-out, delivery, and other assumptions unresolved. Ask whether the full offer still matches the defined order.

Assuming a quote expiry means an increase. The offer may remain available, or only some terms may need updating. Ask for a dated answer instead of forecasting the supplier’s response.

Assuming no reply means nothing changed. Silence does not confirm the terms the buyer needs. Keep the order pending until the supplier has answered the material questions.

Sending a PO that points to an older revision. A product name or photo may not distinguish two versions of a basket, rack, or hook bar. Reference the actual drawing revision and approved sample.

Treating price confirmation as capacity confirmation. A supplier may confirm a price but still need to confirm the requested quantity or timing. Ask about availability and schedule separately when they are important to the buyer’s plan.

Comparing the revised quote with another supplier’s headline price. Make sure the other offer uses the same product revision, order quantity, finish, pack-out, inspection, currency, and delivery basis. Koitor’s existing fabrication sur mesure de quincaillerie de salle de bains information can help buyers frame an initial product scope; this article handles the later, single-quote revalidation step.

Editing the old quotation or PO internally without supplier agreement. A buyer’s internal notes can clarify intent, but they do not show that the supplier accepted the change. Keep buyer notes separate and obtain written supplier confirmation for revised terms.

How can a small-batch OEM factory help?

A factory-side review can help identify which quote inputs are linked to the product and which belong to a separate commercial or packaging line. For bathroom and home-storage metal hardware, a supplier can compare the quote with the current drawing or physical sample, review the stated material and finish, confirm the order quantity, and identify whether packing or included accessories changed. The buyer remains responsible for deciding whether the revised offer fits the project and internal approval process.

Koitor Hardware is a family-owned custom metal hardware factory focused on bathroom and home-storage products. Buyers can share the original quotation, current drawing or sample, target quantity, finish, pack-out brief, and required ship window when asking for a new or reconfirmed offer. Small-batch OEM options and sample development can be discussed after project details are confirmed; MOQ can start from 100 pieces depending on product structure, material, finish, and packaging. Koitor can review product scope and manufacturability, but quote terms and timing need project-specific confirmation.

Foire aux questions

Does an expired quotation automatically mean the price will increase?

No. The date passing means the buyer should ask whether the supplier still offers the same terms. The supplier may reconfirm them, revise selected items, or issue a new offer. Do not assume a fixed direction or amount of change.

What if a quotation does not show a validity date?

Ask the supplier to confirm how long the current offer remains available and which terms are covered. Keep that response with the quotation. Do not infer a standard duration from another supplier’s document or an online example.

Does reconfirming the price reserve stock or a production slot?

Not by itself. Ask the supplier to state separately whether the required quantity, material availability, or production timing is committed and under what conditions. Do not treat a price confirmation as proof of a reservation unless it explicitly says so.

Should the buyer request a completely new quotation?

If the original product, quantity, finish, pack-out, and delivery terms are still current, a dated written confirmation may be sufficient for the buyer’s process. If a material input has changed or the PO needs a new document, request a revised quotation that clearly supersedes the earlier version.
